How bulk receipts work

Updated

Bulk makes many donation receipts at once. You enter your organization's details one time, give one row per donation, and download the PDFs together in a ZIP file. Open Bulk from the menu.

Before you start

  • Sign in. Bulk isn't part of the free daily receipt. If you are signed out, the page says Credits Required for Bulk Generation.
  • Have credits or a pass. A cash receipt costs 1 credit. A row that uses IRS Option B (goods or services provided) costs 2. While a pass is active, Bulk uses no credits. See Credits and passes.
  • Have your signature ready. Authorized Signature is required. The logo is optional.
  • Know which IRS statement each gift needs. Each row carries one of the three IRS acknowledgment statements. In pasted Bulk, the rows start on the first one, "No goods or services were provided in exchange for this contribution," and changing the page default changes every row you haven't set by hand. A row on Option B also needs a description of the goods or services. File upload uses your default for rows with no acknowledgment cell.
  • Cash gifts only. Non-cash receipts are made one at a time on Create a receipt. See Gift types.

The paste page shows Estimated Credits under the grid. If your balance is short, a red You have N. appears there and generating stops before anything is sent. See Paste rows for bulk receipts.

Two ways to add your donations

Under the organization details there are two tabs.

Paste rowsUpload a file

When it runsWhile you wait on the pageIn the background, in batches of 100
CheckingYour rows are checked when you click generate, and each problem is listed by row numberEvery row is checked before any credit is used

If you close the pageReceipts already being generated are not stoppedThe run carries on

Use Paste rows for a short list. Use Upload a file for anything longer. See Paste rows for bulk receipts and Upload a spreadsheet for bulk receipts.

What is the same in both

  • The organization details apply to every receipt in the batch: EIN, name, address, location issued, receipt date, logo, signature and the thank-you options. The IRS statement is the exception: each row can have its own. If you are signed in, your saved details are filled in.
  • You also enter an Organization Email. Pasted Bulk sends a copy of the ZIP there. File upload emails you when the run finishes, with the receipts attached if they are small enough and a link to the upload if not.
  • Each receipt is a separate PDF with its own receipt number. The ZIP also has a text summary listing the receipt numbers.
  • A receipt that fails is not charged.
  • Receipts are in English.
  • You can email each donor their receipts. See Email receipts to donors.

Corrections

There is no bulk correction. Correct one receipt at a time. See Correct a receipt.

Storage

Pasted Bulk keeps no PDFs. File upload keeps your rows and PDFs for 30 days. See What we keep.
