Step-by-step answers for making and correcting charity receipts.
Getting started
- Getting started with FreeCharityReceipts
What FreeCharityReceipts does, what is free and what needs credits, and how to make your first IRS donation acknowledgment as a PDF you download.
- What FreeCharityReceipts keeps and doesn't keep
Receipts made on the Create Receipt page are downloads with no saved drafts or history. This page also covers saved details, the record kept per receipt, donor email and Bulk file upload.
Single receipts
- Create a receipt step by step
Every section of the Create a receipt form in order, which fields are required, and what happens when you generate the PDF.
- Gift types, IRS statements and credits
Cash, non-cash and IRS Option B on the form, what each is for, which need an account and credits, and how bank transfers are handled.
- Gift date and receipt date
What the Gift Date and Receipt Date fields mean, how they are filled in, and how they print on the receipt.
- Logo and signature for your receipts
The signature is required and the logo is optional. How to upload or type them, which image formats work, and how signed-in users save them for next time.
- Your EIN and how to enter it
The EIN is your organization's 9-digit Employer Identification Number. The format the form expects, where it prints on the receipt, and the mistakes to check for before you generate.
- Non-cash (gift-in-kind) receipts
How to receipt a donated item, why the receipt describes it instead of valuing it, what the form asks for, and what it costs. Sign-in and 2 credits needed.
- Option B receipts (goods or services provided)
How to receipt a gift where the donor received goods or services in return, what value and description to enter, what the receipt shows, and what it costs. Sign-in and 2 credits needed.
Bulk receipts
- How bulk receipts work
Make many cash receipts in one go, either by pasting up to 100 rows or by uploading a spreadsheet of up to 2,000. What each way does, what it costs and which one to choose.
- Paste rows for bulk receipts
Fill in the organization details, paste donors into the grid, generate, and download a ZIP of PDFs. Includes the row limits, Option B rows and what happens if a row is wrong.
- Upload a spreadsheet for bulk receipts
Upload a spreadsheet of up to 2,000 donations, map the columns, review every row, then let it run in the background. Covers IRS statements, stopping, resuming, results.csv and Recent uploads.
- Prepare your spreadsheet for Bulk upload
The columns, IRS statement and amount and date formats, file types and size limits for Bulk upload, plus the most common warnings and errors you will see when you review your rows.
Corrections
- Correct a receipt
To fix a receipt you already issued, make a new one that replaces it. You enter the original receipt number and a reason. What the new receipt shows, what it costs and what it doesn't do.
Emailing donors
- Email receipts to donors
How to email a receipt straight to the donor on Create, Correct, pasted Bulk or file upload. It needs credits or a pass and a tick box. Covers limits, bounces and what is kept.
Credits and account
- The free daily receipt
Each EIN gets 1 free cash receipt a day for gifts up to $10,000 USD, with no sign-in. What counts, when it resets, and what needs credits.
- Credits and passes
What each receipt type costs in credits, the credit packages and the two Unlimited Passes with their prices in USD, how to buy, and where to see your balance.
- Signing in and what an account adds
You can make a free cash receipt without an account. Signing in adds credits and passes, Bulk, non-cash and Option B receipts, receipt preview, and saved organization details.
Receipt rules
- What an IRS written acknowledgment must contain
The IRS list of what a written acknowledgment for a gift of $250 or more must say, matched to what a FreeCharityReceipts receipt prints, and what it doesn't.
- IRS quid pro quo rules and Option B receipts
When the IRS requires a disclosure statement for a payment over $75 that is partly a gift, what it must say, the exceptions, and how an Option B receipt prints it.
- IRS rules for non-cash gifts and Form 8283
What the IRS says about acknowledging and valuing donated property, and the Form 8283 and appraisal steps at $500 and $5,000 that are the donor's job, not the charity's receipt.
- IRS sources for receipting rules
The IRS pages and publications behind the receipt rules pages, with one line on what each covers. Read the IRS's own pages for your situation.
