Correct a receipt
Updated
If a receipt has a mistake, or the donor lost it, you issue a replacement. It is a new receipt that says it replaces the original. FreeCharityReceipts doesn't change or cancel the original for you.
Before you start
- Sign in. Corrections need an account. Signed out, the page says Sign In Required.
- A correction costs 2 credits. An active pass covers it. See Credits and passes. There is no free daily correction. The page says Credit Cost: and either "Generating a correction receipt will cost 2 credits." or Covered by your unlimited pass.
- Have the original receipt number. It is printed on the original PDF.
Steps
- Open Correct from the menu.
- Under Correction Details, enter the Original Receipt Number. Use letters, numbers, spaces, dashes and underscores, up to 50 characters. You can enter a number from any source, such as a handwritten receipt.
- Enter the Reason for Correction: at least 10 and at most 100 characters, for example "Incorrect donation amount".
- Fill in the rest of the form with the correct details. It is the same form as Create a receipt, including the IRS Acknowledgment Statement. Your saved organization details are filled in if you have signed in before. You must add the donor and gift information again.
- Click Preview Correction Receipt. The button stays off until the required fields are done, and the line under it names what is missing. The preview costs nothing.
- Check the preview, then click Generate Receipt.
The PDF downloads, and a copy goes to your Organization Email. You can also email the donor. See Email receipts to donors.
If the correction is for a non-cash gift, you describe the item and, if you like, enter a Donor-declared value ($), which is for your records only. The U.S. receipt prints the item description and no value. See Non-cash receipts. If you choose the Option B statement, the Goods or services provided (description) is required, as it is on Create a receipt. The form has the same length limits and counters as Create.
What the new receipt shows
- A new receipt number. It is not the original one.
- (CORRECTED) next to that number.
- The line Cancels and replaces receipt No. followed by the original number.
- Your reason, under Reason:.
What a correction doesn't do
- It doesn't look up the original. The site checks only that the number is in a valid format.
- It doesn't remove or change the original receipt, and it doesn't tell the donor. Unless you email the donor from the form, give them the new receipt yourself.
- It doesn't save anything for later. Keep your own copy of both receipts.
To see what the IRS expects a written acknowledgment to contain, read What an IRS written acknowledgment must contain. The replacement is a full receipt, so it carries all of that.
